Executive Assistant to Chief Executive Officer

Boreal Fire Protection Inc. | St. Albert, Alberta

Salary: $65,000–$80,000 annually + benefits
Employment: Full-Time, Permanent | Monday–Friday
Location: St. Albert, AB (primarily in-office)

About the Opportunity

Boreal Fire Protection is growing, and we're looking for an exceptional Executive Assistant to work directly alongside our Founder & CEO.

Since launching in 2021, Boreal has grown into a team of 16 professionals with 10 service vehicles, providing comprehensive fire and life safety services to commercial, industrial, and institutional properties throughout the Edmonton region.

We've built our business on strong relationships, exceptional service, and doing things the right way. Now, we're looking for someone who shares those values and wants to play an important role in our continued growth.

We're not looking for someone who simply waits for instructions. We're looking for someone who anticipates what needs to happen, takes ownership, and genuinely enjoys making things run better.

You'll be the CEO's right hand, helping manage priorities, maintain client relationships, and oversee the administrative and financial workflows that keep our business moving.

You'll work closely with our operations manager and administrative team, becoming an integral part of a growing company where your contributions will make a real difference.

What You'll Be Doing

  • Executive Support: Manage the CEO's inbox, calendar, priorities, and follow-ups, ensuring important commitments and opportunities never fall through the cracks.

  • Client Relationships: Serve as a professional point of contact for property managers, building operators, and corporate clients, coordinating requests and maintaining exceptional communication.

  • Business Administration: Maintain job records, coordinate documentation, and track quotations and service workflows through Jobber.

  • Financial Administration: Manage invoicing and accounts receivable, process weekly payroll, and prepare supplier payments for approval.

  • Compliance & Documentation: Maintain inspection records, certificates, and administrative compliance requirements.

  • Process Improvement: Identify opportunities to streamline workflows, improve organization, and help us operate more efficiently.

Who We're Looking For

Ideally, you'll bring at least three years of experience in executive assistance, office management, or senior administrative coordination.

Experience in commercial property management, construction, trades, or another service-based industry would be particularly valuable.

Above all, we're looking for someone who is exceptionally organized, resourceful, professional, discreet, and confident working independently. Someone who takes initiative, follows through, and takes pride in being the person others can depend on.

What We Offer

$65,000–$80,000 annually, depending on experience, three weeks of vacation to start, health and dental benefits after three months, and a Monday–Friday daytime schedule.

You'll join a close-knit, established team with exceptionally low turnover, work directly with the company's leadership, and have meaningful opportunities for professional growth.

This is primarily an in-office position in St. Albert, with occasional work-from-home flexibility once established in the role.

Interested?

We'd love to hear from you!

Please send your resume and a brief introduction to jed@borealfireprotection.ca, with the subject line "Executive Assistant."

Rather than a formal cover letter, tell us about a time you took ownership of something challenging and made it run better.
